A new desk can look ready for work long before it is actually connected. The monitor is on, the chair is in place and the staff member is due to start Monday, but a new workstation network connection still needs more than a spare Wi-Fi password. It needs a reliable path back to the network, enough capacity for the work being done and an installation that will not create problems when the next person joins the team.
For a single workstation, it can be tempting to run a patch lead across the floor or rely entirely on wireless coverage. That may be acceptable in a temporary situation. For a permanent desk, particularly one handling cloud applications, VoIP calls, large files, CCTV monitoring or business-critical systems, a planned connection is the safer choice.
Start with how the workstation will be used
The right connection depends on the job, not just the location of the desk. A reception workstation may need a network port for its computer, another for an IP phone and reliable access to booking or payment systems. A design office may need faster transfers to local storage. A warehouse desk may need coverage for mobile devices, scanners and a wireless access point as well as its own PC.
Before cabling starts, consider what will sit at the workstation now and what could be added later. That includes computers, phones, printers, docking stations, monitors with network capability, access-control equipment and any specialist devices. A desk that needs one outlet today may sensibly receive two, saving disruption and additional call-out costs later.
It is also worth checking whether the workstation will be moved regularly. Hot desks, training rooms and flexible office layouts need a different approach from fixed administration desks. Floor boxes, wall outlets, ceiling pathways and furniture-mounted modules each have a place. The best option is the one that keeps cables protected, accessible and out of walkways.
Wired cabling versus Wi-Fi at a new workstation
Wi-Fi is essential in most workplaces, but it does not replace structured cabling in every situation. A wired connection offers consistent performance, lower latency and a direct link that is not affected by distance, walls or a busy wireless environment. It is usually the preferred option for fixed desktop computers, VoIP handsets, servers, network printers and workstations that deal with sensitive or high-volume data.
Wireless is well suited to laptops, tablets, mobile devices and spaces where desks change often. It can also be the practical solution where cabling access is limited. However, Wi-Fi performance depends on access point placement, building materials, the number of users and interference from nearby networks or equipment. A signal that appears strong at one desk may still perform poorly during a busy meeting or when multiple devices are uploading data.
In many offices, the sensible answer is both. Provide wired connections to fixed workstations and equipment, then install properly planned Wi-Fi for staff mobility and visitors. This gives the business dependable core connectivity without limiting how people work.
Plan the new workstation network connection from the cabinet out
A workstation outlet is only as reliable as the infrastructure behind it. The cable needs to run from the desk location to an organised communications cabinet, patch panel and network switch. Each part should be labelled clearly so faults, changes and future additions can be managed without guesswork.
Check available switch ports and capacity
Adding a network outlet does not automatically mean there is an active port ready to use. The network switch must have enough available ports, and the switch should have the right capability for the connected equipment. For example, an IP phone, wireless access point or security camera may require Power over Ethernet, commonly known as PoE, to operate without a separate power adaptor.
Capacity matters too. An older switch may limit speeds or become a bottleneck when several new workstations are added. There is no benefit installing high-quality cabling if the active network equipment cannot support the performance the business needs. That does not always mean replacing everything. Choose cabling for the building and the plan
For most office workstation connections, quality copper data cabling is practical and cost-effective. The cable category should suit the expected network speed, cable length and future plans. Fibre may be a better fit for longer runs, connections between buildings, high-capacity backbones or locations exposed to electrical interference.

Do not overlook the office move or change process
A new workstation is often part of a bigger change: an extra employee, a reconfigured office, a tenancy fit-out or a business relocation. Treating each desk as a separate job can leave a patchwork of temporary cables and mismatched equipment.
A site assessment can identify where additional outlets, wireless access points, phone extensions or cabinet upgrades should be completed together. It also gives the business a chance to retire unused services, improve cable labelling and resolve weak Wi-Fi areas before staff occupy the space.
For leased premises, it is wise to check building requirements and obtain approval before works begin. Some sites have designated cable pathways, building communication rooms or restrictions around penetrations through walls and fire-rated areas. Getting this right protects the tenancy and avoids costly rectification work.
Testing and documentation are part of the job
A connection is not finished when the computer reaches the internet. Installed cabling should be tested to confirm it meets the relevant performance standard, then labelled at both the workstation outlet and cabinet end. Clear records make it easier to identify a port, move a user or diagnose an issue months later.
