The right setup also needs to keep working when your business grows, changes premises or experiences an internet or power issue.

Your phone system relies on the network, cabling, internet connection, power arrangements and the way your staff actually handle calls. Planning those elements together avoids the common result of buying capable phones that do not perform as expected on site.

Start with how your business handles calls

Before comparing brands or features, look at the calls your business receives and makes each day. A small professional office may only need a main number, several extensions, voicemail and call transfer. A busy medical practice, accommodation provider, trade business or property management office may need call queues, multiple incoming lines, after-hours messages, ring groups and reporting on unanswered calls.

Think about who must be reachable and when. If the same two people answer every call, a simple configuration may be enough. Your network is part of the phone system

Voice traffic is sensitive to delay. A file download that takes a few extra seconds may not bother anyone, but even small interruptions can make a phone conversation difficult. Where possible, fixed desk phones should connect through quality data cabling rather than relying on Wi-Fi. Plan for interruptions before they happen
